About the Inventory & POS System
A modern, local-first inventory management and Point-of-Sale (POS) platform designed to bridge the gap between high-end commercial retail registries and simple, lightweight collection catalogs.
Built with Next.js, Electron, and React Native, this application serves two primary audiences:
- Retail Store Owners & Vendors: Who need a heavy-duty, multi-user sales register, supplier tracking, receipt/tag printing, and margin analysis tools.
- Individual Collectors: Who need a clean, uncluttered interface to catalog coins, toys, comic books, video games, movies, and tools, tracking condition and calculating collection valuations.
Core Capabilities
1. Dual Operating Modes (Reinstall-Free Switching)
The software features two operational modes controlled by product licensing keys. Users can switch modes on-demand without losing their catalog data:
- Personal Collection Mode: A streamlined UI focusing on cataloging assets, condition grades, shelf locations, and personal net worth summaries.
- Store / POS Mode: Unlocks commercial register screens, customer-facing checkouts, sales metrics, employee shifts, supplier contact directories, and transaction histories.
2. Smart Barcode & Visual Scanning
- Standard Searches: Integrates Google Books, UPCItemDB, and OpenFoodFacts for automatic item data population.
- PriceCharting Video Game Waterfall: Queries UPCItemDB and checks category identifiers. If a video game console or title is detected, it falls back to the PriceCharting API to populate curate gamer-titles and live market values.
- SerpApi Google Lens Visual Matching: Allows users to snap a photo of an un-barcoded item (like coins, vintage toys, or graded cards) to visually search the web and identify details instantly.
3. Local-First Security & Sovereignty
- Your Data is Yours: By default, the application runs entirely offline. The database resides locally on a high-speed SQLite engine. No company servers read your logs, store records, or vendor details.
- Encrypted Credentials: Admin and user accounts utilize industry-standard bcrypt hashing for secure authentication.
4. Zero-Cost & Card-Reader Checkouts
- Stripe/Square Integrations: Merchants can link physical chip/tap readers using tokenized terminal APIs, maintaining strict bank security (PCI-DSS compliance) with zero local card storage.
- PayPal & Venmo QR Checkout: Cashier checkouts can render a dynamic QR code pre-loaded with the merchant's PayPal.Me or Venmo handles and the exact purchase total. The customer scans to pay on their own device, requiring zero hardware.
5. Physical Inventory Ingestion & Valuation Auditor
- Raw Sheet OCR Parsing: Directly uploads raw PDF/TXT physical count sheets. Dynamically detects category boundaries (like Barringer, Caffey, and Pepsi Co) and automatically handles column-swapping for soft drink sheets.
- Merge-on-Date: Reuses and merges sessions for same-day uploads, updating brand quantities on overlapping entries to simplify count corrections.
- Asset Valuation & Depletions: Calculates asset values (quantities * cost per ounce) instantly, comparing starting vs. ending counts side-by-side to show total usage values.
- Chronological Timeline Progression: Renders an interactive chronological table tracking stock history. Features convenient quick-toggle buttons ("Select All", "Clear All", "Last 5", "Last 10") to filter count columns dynamically.
6. Local-First Multi-Store & Vendor Booth Aggregator
- Booth Partitioning & Isolated Gating: Manage multiple physical store databases separately. Admins can assign user accounts to specific vendor booths, and the system dynamically auto-routes vendor sessions to isolated booth database files (
store_[id].sqlite), hiding other stores and the shared master catalog. - Cross-Store Sales & Payouts Attribution: The central register scans checkouts containing both manufacturer UPCs and custom vendor price tags (representing unique item UUIDs). The backend cross-references these against individual booth databases to attribute sales and calculate vendor payout reports.
- Thermal & Letter Receipt Printing: cashiers can print transaction receipts formatted for either monospaced Thermal Roll (80mm) or Standard Letter Invoice layouts, displaying inline booth attributions on each line item.
Five Ways to Deploy
To fit every shop layout and home setup, the system is distributed in five distinct packages:
- Windows Desktop App: A native Electron
.exesetup running locally. - Standard Web Server: Deployed to local shop Linux servers or cloud VPS (SaaS mode).
- Raspberry Pi OS: A micro-server image running silently on low-power single-board computers.
- Linux Live USB: A bootable offline operating environment with persistent storage on a flash drive, isolating the application from the host computer's hard drive.
- Standalone Mobile App: Unified database and UI running directly on iOS or Android tablets/phones.
Flexible Subscription Model
For online and cloud-sync configurations, the platform offers modular upgrades and managed options:
- Basic Tier (Free / Self-Hosted): Standard barcode search, local network syncing, and self-hosted Cloudflare Tunnel configurations on the customer's own hardware.
- Premium AI Add-on: Access to Google Lens visual matching and PriceCharting game value lookups.
- Remote Sync Add-on: Automated, zero-configuration remote access using our pre-configured Cloudflare Tunnels domain routing.
- Fully Managed Cloud Hosting (SaaS): A completely managed tier where we host your inventory database and web panel on our secure cloud servers (infrastructure powered by SiteGround). Includes automatic backups, software updates, maintenance, and instant remote access across all your devices without needing a local server.
- Ultimate Bundle: Complete access to both Premium AI and Remote Sync features (for self-hosted setups) at a discounted monthly rate.
